Sample Submission Terms

These Sample Submission Terms govern the acceptance and handling of all materials submitted to Clear Chem Labs (“we,” “our,” “the laboratory”). By submitting any sample for analysis, the client (“you”) agrees to the following terms:


1. Submission Location

Clear Chem Labs only accepts test materials that are personally delivered or submitted within the United States.
We do not accept international shipments or provide customs clearance services.
It is the client’s responsibility to ensure submitted materials comply with all applicable U.S. federal, state, and local regulations.


2. Sample Packaging and Documentation

All submitted samples must be:

  • Clearly labeled with a batch number, product identifier, or internal reference code
  • Securely packaged to prevent leaks, cross-contamination, or degradation during transit
  • Accompanied by relevant documentation such as a test request form or sample submission reference

All materials are inspected upon receipt. Damaged, leaking, or improperly labeled samples may be rejected or discarded without notice.


3. Testing Scope and Batch Representation

Clear Chem Labs performs testing solely on the sample received.

However, if the sample is indicated as a representative pull or composite of a production batch, test results may be interpreted as reflective of the entire batch — provided the client ensures correct sampling and labeling.

No guarantee is made regarding batch-wide quality unless verified through additional testing and representative sampling protocols.


4. Sample Use and Retention

Submitted materials may be:

  • Fully used or destroyed during testing procedures, including chemical processing, dissolution, filtration, or sterilization steps
  • Retained temporarily for quality assurance, auditing, or retesting
  • Disposed of responsibly following analysis, in accordance with internal laboratory protocols

Samples are not returned unless explicitly arranged and confirmed in writing prior to submission.


5. Chain of Custody

Clear Chem Labs maintains internal documentation of:

  • Sample receipt date and condition
  • Assigned internal sample ID
  • Batch number and label (if provided)
  • Test initiation and completion dates
  • Report or COA issuance

Clients are advised to maintain their own records related to sampling, handling, and shipment prior to laboratory submission.


6. Sample Rejection Policy

Clear Chem Labs reserves the right to reject any sample that:

  • Poses a safety, regulatory, or ethical concern
  • Arrives in poor or compromised condition
  • Is inadequately labeled or documented
  • Does not comply with internal laboratory protocols

No testing charges will be incurred for samples rejected prior to analysis.


7. Non-Clinical Use Disclaimer

All testing performed by Clear Chem Labs is for research, quality control, or informational purposes only.

Test results and COAs are not intended for use in clinical diagnosis, therapeutic decision-making, or patient care, and may not be used to support medical claims or regulatory submissions unless explicitly validated.


8. Client Responsibilities

By submitting a sample, you confirm that:

  • You are legally authorized to submit the material for analysis
  • The sample complies with applicable laws and safety requirements
  • The data generated will not be used for unlawful, deceptive, or misleading purposes
  • You understand and accept the limitations and scope of the laboratory’s testing process
